New Westminster Schools Career Opportunity HUMAN RESOURCES ASSISTANT (TEMPORARY)
Under the Direction of the Executive Director of Human Resources or designate, the Human Resources Assistant performs a variety of duties related to the functions of the department.
Job Function:
Reports to the Executive Director of Human Resources
Responsible for the coordination and dispatch of teachers teaching on call and casual support staff
Enters absences in the absences tracking database system in a timely and accurate manner
Coordinates and performs the clerical tasks related to the day-to-day human resource service functions, including recruitment activities (postings, advertising, receiving and acknowledging applications, answering queries, preparing appointment letters, etc.), the employee orientation, service recognition, and retirement events
Prepares correspondence related to staff appointments, leaves, retirements, resignations, etc.
Maintains the Personnel Resource Management (PRM) database, assists with system enhancements, and provides a variety of standard and ad hoc reports
Maintains all staff absence records in the Personnel Resource Management System (PRM)
Conducts orientation sessions for new employees
Ensures seniority lists are up to date and accurately calculates dates
Coordinates the Criminal Record Search process for the School District
Maintains the HR business files and individual employee files
Liaises with the accounting and payroll departments, ensuring that information is relayed in a timely and accurate manner
Assists with developing systems and procedures to ensure accurate HR records are kept in Atrieve database
Maintains a variety of lists such as seniority, leaves, appointments, terminations
Opens, sorts and distributes mail
Screens incoming telephone calls and email, and responds to queries
Serves as a backup for the other Human Resources Assistant and School Board Reception break relief
Performs other comparable duties that are within the area of knowledge and skills required of the jobQualifications: Grade 12 graduation, and completion of a post-secondary diploma in human resource systems or business administration
Minimum of 4 years of progressively more responsible senior secretarial and administrative experience, one year of which was in human resource or personnel department
Certified Human Resource Professional (CHRP) designation would be an asset
Must have an excellent command of the English language, including superior grammar and proof-reading skills
Minimum of one year demonstrated experience in recording and transcribing accurate minutes
Thorough understanding and experience in working with accounting and payroll processes
Exceptional interpersonal and communication skills
Advanced computer skills with MS Word, Excel, PowerPoint, Access, FrontPage (min 65 wpm)
Ability to maintain confidentiality and to work with discretion, with a minimum of supervision
Self-directed, pro-active team player
Ability to work in a constantly changing, fast-paced environment
Demonstrated successful experience in human resources/personnel
Familiarity with school district operations would be an asset
Hours of Work & Salary:
40hours per week, Monday Friday, at $37.55 per hour
Temporary position, October 1 to December 31, 2024, with possibility of extension.
